Data Retention Policy
- Newsletter (Rapidmail): kept while subscribed; deleted on unsubscribe, on request, or after 3 consecutive bounces. This is to enable us to be able to send you our newsletter communications. See Rapidmail's Policy.
- Donations (Open Collective): kept 7 years (this is required to comply with UK record-keeping, accounting and reporting requirements for HMRC and Companies House). See Open Collective's Policy
- General correspondence: kept for period of correspondence from initial receipt of contact and up to 2 years after. This is to enable us to engage in correspondence with you.
We don't track newsletter opens/clicks, so list status alone (not activity) determines retention.
Who we share data with (third-party products)
- Rapidmail (Germany) – processes newsletter emails on our behalf.
- Open Collective and Stripe (US) – act as independent controllers for donation/payment data, not just our processors. See Open Collective's and Stripe's own policies. If you use Open Collective's incognito option, you will remain fully anonymous to dotPublic.org.
International transfers
- Rapidmail (Germany): See Rapidmail's Policy which states 'There is no transfer of your personal data to a third country'.
- Open Collective (US): Open Collective (OfiTech) is based in the United States and the information they collect is governed by U.S. law. See Open Collective's Policy.
